What's new in WD 2021 R1: Time Tracking

Time Tracking is a dynamic module that, in addition to recording hours and absences, it can be configured to generate payroll-related calculations, key performance indicator reports, integration with other external systems and automation of time control processes, generating an optimization of Human Resources performance. 
Workday 2021 R1 has launched many new features, let’s discover  the top 5 for Time Tracking:
Inactivate Work Schedule Calendars
With this feature Workday allows to inactivate work schedule calendars one at a time or in bulk using these web services Put and/or Get Work Schedule Calendar and Put and/or Get Work Schedule Calendar Group. Also,  you can inactivate work schedule calendars with assignments that have been deleted and an end-date before the date you want to inactivate the work schedule calendar. Workday adds the “Inactive” tag to the name of the work schedule calendar you inactivated. Be careful: Once you’ve inactivated a work schedule calendar, you can’t edit or activate it again.
Time Tracking Calendar Redesign
How is going to be this redesign?

  • Workday moves the totals from the top of the calendar to a new Summary section.
  • Workday adds a date picker to make it easier to quickly navigate to weeks in different months.
  • Workday replaces the Enter Time dropdown button with an Actions dropdown button that Workday displays above the calendar.
  • Workday  displays a new Review button after you’ve added time to the calendar. You can use the Review button to review and submit time entries in a single modal, rather than in separate pages.
  • Time Entry Template totals allow for more than 8 totals, but will only display 8 totals.
  • Monthly View is not in scope with this new Calendar Redesign.

This option will be automatically available.
Review Time Templates
With this new feature, Workday enables to streamline data that time approver’s review by only showing them totals that have values in them and edit the Global Time Approval Template, but you can’t delete it. This ensures that the template is available even when you don’t assign the template to a time approver’s specific country.
The design of this feature ensures Time Entry Reporters can only ever be eligible for 1 Review Time Template, because the Review Time Template is derived from the Managers Primary Country Location. For all existing Review Time Templates in your tenant. They’ve been converted to “Global Time Review Template” and will remain in your template as the delivered Review Time Template.
Meal and Break Check-In Validation
Lunch time and you don’t know if you have more time? This validation informs the worker or prevents them from checking in when a worker checks in from a meal or break before their meal or break is completed.  This helps to better comply with labor regulations.

Report on workers who checked in early from a meal or break, as well as the prompts and responses associated with their check in event, using the report fields Early Check In, Check In Prompt and Check In Response.
Start and End Times on Time Offs in Time Tracking and Time Off
Workday enables to configure start and end times on time offs that can be used when workers enter time offs on time tracking, time off, or absence calendars. This eliminates the need to configure separate time offs to support multiple start and end times. 
You can configure time offs with start and end times to be used for the Enter through Time Tracking or Time Off entry option. Workday also updates these web services to import time offs with start and end times to be used for the Enter through Time Tracking or Time Off entry option:

  • Add/Update Time Off
  • Enter Time Off
  • Import Time Off
  • Put Time Off

Managers can view the Start and End Times on Review Time Off. The worker can view and update Start and End Times on Revise Time Off and can Revise Corrections.

We suggest to customers who currently use the module to carefully review each and every one of the new features as many may be adjusted to their system preferences and customers who do not have the module, to carry out a careful analysis of the pros and cons of its implementation since they have a platform with a super intuitive and automated mechanism that will allow you to have better control over  time tracking.

  • If you want to implement any of these new features, you need to make the changes in a manual way. 
  • For the redesigned calendar, on 17 March 2021 you will be able to see this change automatically and enjoy it.
